ASC Central is operated by Ambulatory Healthcare Strategies. This notice explains what we collect when you use asc-central.com, why we hold it, who else can see it, and what you can ask us to do about it. Questions about anything here go to info@ascpodcast.com.
What we collect
When you create or hold a membership
- Your name, username and email address
- Your surgery center name and your title at that center
- Your billing address
- Your membership type, start date, renewal date and payment history
- If your center sets one, a centre passcode — stored only as an irreversible hash, never as readable text
When you use the site
- Documents you upload. Your center’s QAPI program, infection control program, emergency plan, corporate compliance plan, risk management program, OSHA safety plan and selected policies and procedures.
- Training records. Who at your center completed Annual Mandatory Education, when they completed it, their responses to the knowledge check, and provider attestations. These records carry the names of your staff and providers.
- Requests you submit. Conference sign-ups and free registration requests, including the attendee name and email you give us.
- Forum posts. Anything you write in the Member Forum, visible to other members.
- Technical data. Login sessions, IP address and browser information, used to keep your account secure and the site working.
Please do not upload protected health information. ASC Central is built for your center’s organisational documents — plans, policies and training records. It is not designed or authorised to hold patient information, and we do not act as a HIPAA business associate. Remove patient identifiers before you upload anything.
Payment information
Card payments are processed by Stripe. Your card number never reaches our servers and we cannot see it. We keep a record of what you paid, when, and which membership it was for. Stripe handles the card data under its own privacy notice at stripe.com/privacy.
Why we hold it
- To give you and your center access to what your membership includes
- To build your training programs around your own plans and policies
- To produce completion records and certificates you can show a surveyor
- To take payment and manage renewals
- To answer you when you contact us or request a place at a conference
- To keep accounts secure and to prevent misuse
We do not sell your information. We do not share it with advertisers. We do not use your uploaded documents for anything other than delivering the service to your center.
Who else can see it
Only the suppliers who make the site work, and only the part each one needs:
- GoDaddy — hosting, so the site and its database sit on their servers
- Stripe — card payments and subscriptions
- Vimeo — video hosting for recordings you play on the site
- Zoom — live conferences and drop-in sessions, where registration happens on their platform
- Microsoft 365 and Proofpoint — email sent from and to info@ascpodcast.com
- Podbean, Dropbox and Google Drive — where some podcast episodes, slides and handouts are stored. Following those links takes you to their services, under their own privacy terms.
We may also disclose information where the law requires it, or to protect the rights and safety of members and the public.
Who at your center can see your documents
Premium Access and AHS client memberships cover a whole surgery center and are used through a shared login. Anyone signed in with that login can see the documents and records held under it. Uploaded documents are stored privately and served only to the account that owns them — they are not readable by anyone else on the internet, and a direct link to a file is refused to anyone not signed in as your center.
Because the login is shared, your center administrator can set a passcode that is required before documents can be removed or billing changed. We recommend setting one.
How long we keep it
- Account and membership records — for as long as your membership is active, and afterwards for as long as we need them for tax, accounting and legal purposes.
- Uploaded documents — until you replace or remove them. Removing a document deletes it; we do not keep a copy.
- Training records — kept while your membership is active so you can produce them at survey. Tell us if you want them removed.
- Forum posts — kept unless you ask us to remove them.
Your choices and rights
You can ask us to:
- Tell you what we hold about you
- Correct anything that is wrong
- Delete your account and the information attached to it
- Send you a copy of your information in a portable format
- Stop sending you marketing email — every marketing message also carries an unsubscribe link, and opting out does not affect service messages such as receipts and password resets
Much of this you can do yourself from Account while signed in. For anything else, email info@ascpodcast.com and we will respond within 30 days. We will not treat you differently for exercising any of these rights.
If you live in California
The California Consumer Privacy Act gives you the right to know what personal information we collect and why, to request deletion, to request a copy, and to opt out of any sale or sharing of personal information. We do not sell or share personal information as those terms are defined in that law, and we do not use it for cross-context behavioural advertising. To exercise any of these rights, use the address above.
If you are outside the United States
ASC Central is operated from the United States and information is stored there. If you use the site from elsewhere, you are sending your information to the United States, where privacy law differs from your own.
Cookies
We use cookies to keep you signed in, to remember your place in a training program, and to keep the site secure. Turning them off in your browser will stop you being able to sign in. We do not use advertising cookies. Vimeo, Zoom and Stripe set their own cookies when you use their features, under their own notices.
Security
The site runs over HTTPS. Passwords and centre passcodes are stored as irreversible hashes. Uploaded documents are held in the database rather than an open folder and are released only to the account that owns them. No system is perfect, and we cannot promise that a determined attacker will never succeed — but if a breach affects your information we will tell you promptly.
Children
ASC Central is a professional service for people working in ambulatory surgery centers. It is not directed at children and we do not knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
Changes to this notice
If we change how we handle your information we will update this page and change the effective date at the top. If a change is significant we will tell members by email rather than relying on you to notice.
